BEVBEACON VS. CHATGPT
Is ChatGPT enough for your beverage sales data?
It depends on the job. As of September 28, 2026, OpenAI’s help pages say ChatGPT can analyze uploaded spreadsheets with Python, and its projects keep files and instructions for repeat work. BevBeacon’s analysis uses the same kind of large language model, set up for monthly depletion reports with beverage unit instructions, versioned reports, team rules and remembered account matches.

What does BevBeacon add for monthly depletion reports?
A distributor report arrives every month, in the same messy layout, with the same unit traps. BevBeacon is set up for that repeat job.
- Beverage units. BevBeacon’s analysis is instructed to handle case equivalents, 9-liter cases, keg sizes, pack notation, returns and deposits, and to list any unit corrections it makes. In ChatGPT, you can add the same rules to a project’s instructions.
- Report history. Every report is kept exactly as uploaded. Add next month’s export as a new version and BevBeacon keeps both, so you can compare them or go back. Each conversation is pinned to the report versions it used, so earlier answers stay as they were.
- Team rules and score. Your team’s business rules and opportunity score are included in each question by default. Every version is kept, and admins decide who can change the team’s copy. The analysis is instructed to skip signals your data can’t support and note them.
- Account matches. When the same account shows up differently across files, BevBeacon links it only on strong evidence, asks you when it’s unclear, and remembers your answer. When both files carry a unique account ID, your answer can also carry over to next month’s version.
- Computed answers. The table, the chart and the CSV export all come from one saved result, with its method and source versions attached.
- Saved Views. Save a question as a View. Set it to use the newest version, and it opens with next month’s report and the same instructions. A View can be private or shared with your organization.
BevBeacon can also add optional U.S. product-availability listings for the brands it tracks, currently mostly beer; availability is not a sale.
Where is ChatGPT ahead?
For a one-off look at a single file, ChatGPT can run the analysis in Python on the file you upload. ChatGPT projects also keep files and instructions, and OpenAI’s Projects help page suggests using them to come back each week for updates without starting over. It is ahead of BevBeacon in the areas below.
| Area | ChatGPT | BevBeacon today |
|---|---|---|
| File size | Accepts larger files than BevBeacon currently takes | Talk to us about large files |
| File types | More types, including older .xls workbooks, images and presentations | CSV, Excel (.xlsx), JSON, text, Markdown and text-based PDF |
| Result size | Returns larger result tables from its Python analysis | Each result is capped at 500 rows and 24 columns |
| Connections | Connected apps such as Google Drive, SharePoint, OneDrive and Slack, plus web search and scheduled tasks | Works from files you upload, plus optional U.S. product-availability listings for brands BevBeacon tracks (mostly beer; not sales) |
| Shared chats | Members of a shared project can see its chats and branch them | Conversations can’t be shared with teammates; saved Views can be shared with your organization |
ChatGPT is also a general assistant for work beyond sales data. BevBeacon covers beverage sales analysis only, and AI access is set up with the BevBeacon team.
What AI does BevBeacon use?
BevBeacon’s analysis uses a commercial large language model, the same kind of model general AI assistants use. BevBeacon does not build or train its own model. What it adds is the beverage setup around the model: unit instructions, report versions, team rules and remembered account matches.
Any AI analysis can be wrong. Whichever tool you use, check totals against the report, and in BevBeacon review the unit corrections it lists. The depletion report checklist covers the usual traps.
How do I compare them on my own report?
The fairest test is your own report. Pick a question you ask every month, such as which accounts bought less of a package than last year. Run it in ChatGPT with the prompts in Can ChatGPT analyze a depletion report?, then run the same question on the same export in BevBeacon once your team has AI access, or bring the export when you connect with us. Compare:
- Whether the totals match your report after returns, deposits and subtotal rows.
- Whether beer is in case equivalents and wine and spirits in 9-liter cases.
- Which unit corrections each one lists.
- What each one keeps for next month’s export.
Questions
Is BevBeacon better than ChatGPT for beverage data?
It depends on the job. ChatGPT is ahead on file size, file types, result size, connected apps, web search, scheduled tasks and shared project chats; its projects keep files and instructions for repeat work, and it is a general assistant for other work. BevBeacon is built for the report you get every month: its analysis is instructed to handle beverage units, it keeps each report version with answers pinned to it, and it applies your team’s rules and score and remembers account matches. Neither removes the need to check totals against the report.
Does BevBeacon connect to VIP or iDIG?
No. BevBeacon has no direct connection to VIP or iDIG. It works from files you upload, such as a depletion export. VIP and iDIG are trademarks of Vermont Information Processing, which is not affiliated with BevBeacon. See the fields in a VIP SRS export.
Does BevBeacon work for wine and spirits?
Yes, for your own reports. BevBeacon’s analysis supports beer, wine and spirits, and its unit instructions cover 9-liter cases for wine and spirits. The optional U.S. product-availability listings cover the brands BevBeacon tracks, currently mostly beer, and availability is not a sale.
